With a small staff of 10 personnel, members of the James Gallery team will work directly with clients and other staff members to ensure accurate and creative solutions for a variety of markets: healthcare, corporate, residential, senior living, hospitality, sports venues, restaurants, behavioral health, and more.

Creative Planning Assistant

James Gallery is searching for a Creative Planning Assistant to join the team. This is a dynamic opportunity if you thrive in a challenging work environment. In this role, you will be responsible for working with sales staff and the production team to implement organizational and operational project support, balancing project-based work and providing related administrative and logistical support. The ideal candidate will be organized, detail-oriented, experienced in customer service, friendly, attentive, a self-starter, responsible, trustworthy, and flexible. The candidate must be able to switch tasks quickly and prioritize projects and deadlines.


Core responsibilities:

  • Comprehensive support of projects including progress tracking, status reporting
  • Serve as first point of contact for many clients - answering telephone calls and referring clients to the appropriate resource
  • Responsible for creating meeting agendas and recording meeting minutes, distribute to staff, follow up on action steps to ensure task completion
  • Develop vendor and client relationships
  • Enter new contacts and inventory into the database
  • Create labels for art on display
  • Support sales staff as needed
  • Assist with gallery events
  • Train interns and staff on procedures and processes
  • Update online listings for regional websites to attract audiences to James Gallery
  • Represent the gallery in a professional manner

  • Entertain clients
  • Assist sales staff with contract development
  • Continue involvement with clients and projects through execution of contract
  • Connect client to sales staff
  • Track project sales and report quarterly
